Digitization Guidelines for the EU Artistic Digital Archive (EADA)
Draft presented to Steering Committee / GA (June 2025)
Abstract
Guidelines for the digitization and archiving of CO-VISION content within the European Artistic Digital Archive (EADA), written as best-practice recommendations for artists and festival coordinators. Objectives of the archive: preserve and enrich climate-focused artworks and processes; amplify grassroots participation; facilitate knowledge transfer; promote inclusive access (including for people with visual impairments); support artistic continuity. Best-practice recommendations include documenting both artworks and co-creation processes across all production phases; using multiple media formats (photography, video, VR/360°, transmedia); recording audience engagement; and maintaining consistent metadata (location, date, artist, format, technical specs). Proposes a distributed architecture: each festival hosts its own complete documentation while EADA acts as a central aggregation hub with a narrative/transmedia layer, avoiding unnecessary duplication for sustainability. Addresses technical and ethical considerations (artist agreements, open/compatible formats, rights, long-term sustainability). Provided the technical partner guidelines overview (co-creation, greening, digital archive, blueprint) presented at the June 2025 GA/Steering Committee.

Technical Workshop
Athens
Technical Workshop “Prototype Journey” – Athens
Two-day technical workshop held with the Athens Steering Committee (20–21 January 2025). Led by the technical partners NTNU, Mapa das Ideias and Xamk, the “Prototype Journey” took the whole consortium through three stations — Greening, Co-creation and Digitisation — collecting the festivals' experiences, needs and ideas on posters and sticky notes. The results fed the first versions of the CO-VISION guidelines and, through them, the Blueprint.
